AI Employee Platform: How to Choose One Without the Hype

Every month there is a new AI employee platform promising to run your business while you sleep. Some are useful. Most are wrappers around the same models with different colors and a higher price. Here is how to choose without getting sold, based on the questions I actually ask before I pay for anything.

The five questions that matter

• Can it run on a schedule without you?
• Can you edit the instructions easily?
• Can it read your files (rules, tasks, plan)?
• What does it cost per month, really?
• Can you see what it did and why?

A platform that fails any of those is a chat window with a logo. The first one matters most: if you have to be present for the work to happen, you have not hired anyone, you have bought a nicer keyboard.

What you do not need

You do not need the most expensive tier. You do not need the platform with the longest feature list. You need the one where your instructions stick and the output is inspectable. The features you will actually use are the ones you can name before you buy, and if you cannot name them, the free trial will name them for you.

Free vs paid, fast

Free tiers prove the idea. Paid tiers remove the caps. The system you build on top matters more than the platform, so switch whenever you want. Your rules file travels with you, and that portability is the point of keeping the system in plain files instead of inside the platform.

The part the platforms will not tell you

The platform is the smallest part of the setup. The rules, tasks, and review are the largest. I have run the same 4-file system across several platforms and the only thing that changed was the monthly bill. Pick a platform that stays out of the way, and let the system do the work.

The trial checklist

Before you pay, run every candidate through the same test: give it one real task from your business and your rules file, and see which one follows the rules on the first try. Time how long it takes to edit the instructions. Check whether the activity log shows you what it did and why. One afternoon of testing beats a year of platform regret, and the test only costs you the afternoon.

When to switch platforms

Switch when the platform gets in the way: when edits are slow, when the output becomes unpredictable, or when the bill grows faster than the work. Your rules file makes the switch painless, which is the best argument for keeping the system in plain documents. The platform is furniture. The system is the house.

Red flags on the sales call

Walk away from any platform that cannot answer three questions: what happens when the output is wrong, can I export my setup, and what changed in your last two updates. Vague answers mean the product is not ready for a business that depends on it. A platform that treats your rules file as portable is a platform that respects your time.
